After leaving an analytics page, business reports often continue circulating as screenshots, documents, or data files. HENGSHI SENSE provides global watermarks, application-level controls for disabling them, and combinable user-information variables to retain source clues on supported pages and exported artifacts. Using these capabilities also requires clear access authorization, export controls, coverage checks, and auditing. This article explains the configuration rules, what watermarks contribute to delivery, and how to verify them.

1 Choose a delivery method suited to collaboration

A business dashboard may have several audiences: regional managers analyze in the platform, executives read meeting materials, and external consultants process authorized data. Administrators should first establish recipients’ identities, visible data scope, and intended use, then decide between controlled page access and file delivery.

Watermarks add source information to reading material. When a screenshot is found, investigators can combine its visible username and time with access or operation records to narrow the inquiry. Once a file leaves the platform, platform permissions cannot control arbitrary copying and forwarding in external software. Watermarks do not provide a complete propagation history or automatic recall. File distribution therefore still needs defined recipients and retention requirements.

Coordinate these arrangements with technical configuration. For people who only need conclusions, assess a controlled reading entry point first. Where data delivery is necessary, specify exportable fields, row counts, and channels. Not every collaboration need requires a full detail file.

2 How global watermarks apply to applications

The current HENGSHI SENSE manual uses a global-first configuration rule. When the system administrator enables watermark protection, system pages display watermarks by default; when global protection is off, applications cannot enable it independently. Only when global protection is on and applications are allowed to disable it can an application administrator choose to hide that application’s watermark.

Global protectionApplications allowed to disable itApplication result
OffDoes not enable independent application activationApplications cannot independently enable the global text watermark
OnNoThe global rule applies; applications cannot disable it themselves
OnYesApplication administrators may hide the watermark as needed

This lets platform administrators establish a common requirement and delegate disabling rights according to business use. An internal finance application can retain uniform protection; an application with a justified presentation need can adjust it once the platform permits. Application owners should record the reason and check the actual published access entry point.

3 Select sufficient identity information

Watermark content can combine fixed text and variables. The manual supports usernames, bound email addresses, mobile numbers, masked mobile numbers, and system time at access. Choose information according to investigative needs and the material’s audience; including every personal detail is unnecessary.

For internal collaboration, start with a concise combination such as {name} {time}. Where a phone-number clue is needed, evaluate {mobile*}, which masks the middle four digits. Before using an email address or full mobile number, check whether its inclusion suits the distribution scope. Fixed text can identify the owning organization or agreed use.

The time variable represents system time at access; it cannot replace the report’s data cutoff. If meeting material must say “data through yesterday” or identify a month-end batch, state that separately in the report description or handover record. Recipients can then understand both the source and the business time represented by the figures.

Interpret account details in light of actual authentication. Shared accounts, anonymous access, and different embedding entry points may affect available identity clues. Investigators must establish who the entry point recognizes before interpreting the watermark; a name alone does not establish who forwarded the material.

3.1 Start with a minimal usable template

The following templates are starting points for general internal reading and collaboration requiring phone-number clues. Enter the supported variables in braces exactly as shown; the system replaces them according to the actual access identity. Fixed text states the material’s purpose without changing recipient permissions.

Internal material {name} {time}
Project collaboration {name} {mobile*} {time}

After configuration, first visit with an ordinary account whose bound information is complete, then use another ordinary account to check that identity changes with the viewer. If email or mobile information is missing, record the actual output rather than assuming a fallback identity. For embedding, distinguish the business system’s displayed login from the account HENGSHI recognizes: a watermark reflects the identity it receives and does not perform account mapping for the integration.

Longer content is not necessarily better. A name, email address, and full mobile number together increase reading burden and exposure of personal information. Start with the minimum variables required for investigation, then check real reports using long usernames, long email addresses, and different zoom levels. With complex backgrounds, ensure both key figures and watermarks remain recognizable; obscuring content is not meaningful coverage.

When changing a template or allowing applications to disable watermarks, administrators should record scope and reason. Existing export files are not rewritten by later configuration changes, and a change does not retroactively repair previously distributed material. To replace historical material, regenerate it and notify recipients through the existing distribution channel.

4 Check pages and exported artifacts separately

The current public manual explicitly lists watermark coverage for system pages and exported PDF, PPT, and PNG files. After confirming the page display, generate files through each actual export route and check watermark placement, clarity, and coverage. Include dark backgrounds, long-table pagination, and different reading software.

Excel is a data-delivery path. A watermarked page does not establish that every Excel export automatically embeds watermarks. Verify capabilities for the target version and entry point, focusing on export permissions, minimum necessary data, and operation records. Printed materials also need checking from the actual printed file, including intermediate conversions.

Screenshots and files can be cropped, reformatted, or photographed again. Visible watermarks can leave clues but cannot guarantee their preservation or prevent redistribution. Choose protection according to sensitivity and validate watermarks together with other controls.

4.1 Build a matrix of access paths and delivery formats

Checking a watermark once on an editing page is insufficient. Acceptance should cover the entry points, identities, and formats recipients actually use. The table suggests a method; capabilities for public links and embedding depend on the target version, authentication method, and configuration.

Path or artifactCheckResult to retain
Published application pageVisit as ordinary accounts A and B; check whether the application may disable watermarksEach account’s visible data, actual identity variables, and global/application settings
Public link or embedded entry pointEstablish authentication and the viewer recognized by HENGSHIEntry-point type, anonymity, actual watermark content, and identity-mapping differences
PDF, PPT, PNGGenerate from the actual export route; inspect first/last pages, long-table pagination, and light/dark backgroundsWatermark retention, content obstruction, and readability for the recipient
Excel detail fileCheck the entry point and export role without reusing the page’s acceptance conclusionAllowed fields, actual row count, export records, and file-delivery scope

Retain a set of artifacts for the same account, report, and time period. Confirm visible scope on the platform, export reading files, then open or print them using the recipient’s usual software. If the page is correct but a file is not, keep the original export and screenshots to locate the problem in platform generation, format conversion, or recipient-side reading.

One successful check does not cover later changes. After adjusting application disabling options, authentication mapping, or export formats, recheck the affected paths. For data files without visible watermarks, reduce fields, restrict recipients, and retain handover records. A watermark in another file type does not establish control over this path.

5 Connect source clues to an actionable investigation

Consider a cross-department business review. Administrators first access the same report with two ordinary business accounts, checking each one’s authorized scope and watermark identity. They then generate PDF or PNG files through the actual delivery route and confirm readability and retention of the required clues. If detail data is also exported, they verify fields and row counts using the appropriate role.

Investigators filter system operation records by time, operator, action, and result. For exports, the object and exported quantity help establish what occurred. Watermark access time, audited operation time, and the file’s business period may differ. Separate these in the handover record rather than inferring the entire distribution process from one timestamp.

5.1 Record three distinct times

This fictional local investigation record is not a field definition for HENGSHI’s audit API. Recording access time, export-operation time, and business-data cutoff separately, with a time zone, reduces mistakes in cross-system comparisons. The watermark’s actual time format depends on the deployment’s artifact.

If a screenshot bearing a name and time appears externally, first preserve the original material and identify its report and business period. Then find the account’s access or export records around that time. Finally, establish whether the account was shared or the material handed on. The name is a clue, not standalone proof of who distributed it externally. One successful platform export also does not explain every subsequent circulation outside the platform.

Link handover records to the actual artifacts and review conclusions, avoiding further copies of full contact information or sensitive detail. After investigation, the business owner decides whether to adjust recipients, templates, or application settings and retests the same paths. This brings individual investigations back into maintainable daily configuration.

When application settings, public links, or embedding entry points change, owners should recheck the relevant outputs. Watermarks need an owner, and records need retention according to enterprise requirements. Sustainable distribution governance in HENGSHI SENSE depends on concrete work: show data to appropriate people, limit what they take away, retain source information in supported materials, and let administrators locate the corresponding operations.
