When procuring BI, enterprises often confuse two measurements: how long a query takes to return and how far the data displayed on screen lags behind a committed write in the source system. The first is query latency; the second is data freshness. End-to-end freshness should measure the interval from a committed source write to visibility on the dashboard, recording separate timestamps for source commit, synchronization or collection, model or cache updates, and frontend refresh. If the business also needs to measure the interval from an event occurring to its source commit, define that as a separate business-event timeliness measure rather than combining it with the BI pipeline.
This article compares HENGSHI, Alibaba Cloud Quick BI, Microsoft Power BI, Tableau, and Guandata across query modes, data freshness, and cost boundaries. It follows product approaches, and the order does not represent a third-party ranking. Versions, licenses, data sources, and deployment models all affect results. Buyers should run a POC using the same business dataset and acceptance criteria.
Generative analytics and agents add entry points for data queries, but do not replace modeling, permissions, or freshness governance. In August 2025, Gartner forecast that 40% of enterprise applications would integrate task-specific AI agents by the end of 2026. A separate June 2025 forecast projected that AI agents would augment or automate 50% of business decisions by 2027. IDC’s 2025 GenBI news also discussed productization and diverging industry needs. This article consequently treats semantics, permissions, and data freshness as selection priorities.
Align terminology: connections, storage, and cross-source modeling are different
Direct or live connections generally mean that BI sends a request to the source database, warehouse, or service at query time. Results are closer to the source’s current state, but source concurrency, networking, SQL pushdown, and permissions affect the experience. Import, extracts, or acceleration store data or results on the platform side. Reads may be faster, but depend on refresh, incremental synchronization, or cache invalidation policies. Hybrid queries have different meanings across products: table-level import and direct queries may coexist, a virtual connection may allow live or extract modes per table, or a project may simply use several connection methods.
Cross-source modeling addresses how data from different systems is related and how definitions are reused. It does not automatically provide federated optimization across every source or guarantee uniform freshness. Implementation teams should record source-data timestamps, synchronization completion, semantic-model updates, cache state, and frontend refresh for every critical dashboard so that displayed data can be traced to a specific pipeline.
Public capabilities and project validation points across five products
The table summarizes only computation and connection methods explicitly disclosed in product documentation. It does not replace version compatibility checks, license inventories, deployment topology, or on-site load testing.

HENGSHI: Configure data paths around semantic modeling and embedded integration
HENGSHI SENSE’s public materials describe HQL calculation expressions for metric and relationship modeling in a logical semantic layer, supporting reuse of metric logic and analytical outputs. Heterogeneous data from multiple sources can be synchronized to an analytical warehouse. BI PaaS supports ELT plus embedding, SaaS tenant isolation, single sign-on, and fine-grained permissions, allowing teams to include metrics, pages, and access control in embedded delivery. Modeled reports can support immediate exploration in ChatBI; the Agent page lists collaboration on queries, modeling, dashboards, and analytical reports. For example, an operating application could cache frequently accessed summary dashboards and use direct connections for the latest detail analysis, then compare metric results at the same data point in time. Teams can design connectivity, models, permissions, and page embedding together to balance business freshness requirements with source load.
Freshness must be verified per path. The HENGSHI v6.2 documentation explains that source updates do not appear immediately after accelerated results have been materialized. Choose direct connections when current data is required and the source has enough computing capacity. Consider a warehouse or data integration with scheduled synchronization for complex cross-source requirements or constrained source capacity. Chart caching can serve highly repetitive access. Projects should record P95 latency, the delay from source commit to dashboard visibility, source CPU and concurrency, and row- and column-level permissions for the selected path.
Alibaba Cloud Quick BI: Account separately for Quick engine strategies and underlying data services
Alibaba Cloud documentation describes four Quick engine modes: direct connections, extract acceleration, query caching, and dimension-value acceleration. After a dataset is saved, analytical queries connect directly to the underlying database or warehouse by default. Extract acceleration can periodically extract data using full or incremental extraction; the documentation describes it as generally suitable for offline data such as daily-granularity datasets. Quick BI can also connect to MaxCompute projects and Hologres as analytical data sources.
MaxCompute and Hologres are independent warehouse or computing services; connecting them to Quick BI does not make them the same computing engine. Projects must confirm dataset modes, instances, networking, and fees. MaxCompute extract acceleration may incur separate download charges. Teams using Alibaba Cloud’s data stack should validate refresh, source load, and costs with business SQL.
Microsoft Power BI: Organize imports and queries through table-level storage modes
Power BI defines storage modes such as Import, DirectQuery, and Dual at the semantic model’s table level. Import loads data into the model; DirectQuery sends native queries to the underlying source when visuals are queried; composite models can combine Import and DirectQuery. A Dual table supports both behaviors, and the service chooses the mode for a query. Hybrid tables can use DirectQuery for the newest partition in incremental-refresh scenarios. Direct Lake in Fabric has its own source, capacity, and fallback conditions.
These modes do not mean a report automatically switches among import, direct queries, and caching. A POC should list each table’s storage mode, test cold and warm caches and P95 at target concurrency, monitor DirectQuery source connections, execution time, and throttling, and verify freshness using timestamps for refreshed partitions, source writes, and report refresh.
Tableau: Make data access explicit with Live and Extract
Tableau’s official help lists Live Connection, Extract, and Published Data Source as major connection types. Live connections send queries to the database and update views from the results. Extracts require querying source data to rebuild or refresh the copy. Published data sources can be either live or extracted. Virtual connections in Tableau Cloud and Server also allow Live or Extract to be specified for individual tables, so tables within one project can serve different performance and freshness requirements.
Live describes the query path, not proof of millisecond synchronization. An extract is a copy, not a guarantee of a fixed refresh frequency. Teams must validate source types, extract scheduling, retries, and local-access arrangements such as Bridge in the actual network, and record chart, query, and extract refresh times separately.
Guandata: Verify the delivery chain across data preparation, metrics, and business consumption
Guandata BI’s product documentation covers data access and preparation, analysis and visualization, and result consumption and applications. It lists intelligent ETL, a metric center, Chinese-style reporting, industry scenario templates, and data entry modules. The documentation also describes connections to more than 40 data source types, including databases, files, web services, and third-party services, plus interactive dashboard design and real-time data presentation. Organizations combining data preparation, metric management, and several reporting types into one business workflow can further validate this product approach in a POC.
Real-time presentation must be assessed against the specified connector, deployed version, synchronization tasks, and dashboard-refresh configuration. Industry templates or delivery experience cannot establish timeliness across industries. Confirm modules and versions, then use the project’s sources and permission model to verify incremental-data visibility, complex-report P95, source load at peak concurrency, and unauthorized access under multidomain isolation.
Test performance, freshness, and permissions together in the POC
Do not start with supposedly universal industry thresholds. Business stakeholders should first specify acceptable decision latency, peak user counts, budgets, and risk boundaries, then agree on measures. Every candidate should use the same anonymized data, definitions, network region, and time window. Retain raw logs, versions, configurations, and failure samples for every result.
| Test | Scenario and operation | Required records | Business-agreed acceptance basis |
|---|---|---|---|
| Cold and warm caches | Run separately with caches cleared and retained, using the same parameters, dashboard, and time window. | P50 and P95 for initial display, drill-down, and export; cache hit state and build time. | Both groups meet their agreed response targets and the difference can be explained. |
| Target concurrency | Simulate concurrent opening, filtering, drill-down, and subscription tasks based on actual roles and peak access. | P95, error rate, queue time, platform resources, and source connection count at each load level. | Critical-task P95, error rate, and cost remain within agreed limits at target concurrency. |
| Source load | Run direct, import or extract, and acceleration configurations separately, retaining production protection thresholds. | Source CPU, memory, scanned data, queues, lock waits, network traffic, and query logs. | BI load stays within source SLOs and does not disrupt critical transactions or batch processing on the same source. |
| End-to-end freshness | Commit a uniquely identified sample record at the source and trace it to dashboard visibility. | Source commit, synchronization completion, model or cache updates, frontend refresh, and retries. | The source-commit-to-dashboard delay meets the agreement; business-event and alert timeliness are tested separately. |
| Permissions and audit | Use different tenants, departments, row- and column-level permissions, and deactivated accounts to access the same dashboard, exports, and conversational queries. | Visible fields, aggregates, export results, access and execution logs, and permission-change propagation time. | Unauthorized data appears in neither responses nor exports, and logs meet project audit requirements. |
Three-year costs should separately include licensing or subscriptions, platform capacity, source computation, synchronization and storage, networking, implementation and migration, operations, and training. Direct connections often leave load at the source. Import or extraction adds synchronization and storage costs. Caching and acceleration require accounting for invalidation, refresh, and capacity. Compare these costs in one model alongside service levels, data retention, and staffing to understand the real boundaries of each approach.
Conclusion
Real-time BI selection should start with the business pipeline. HENGSHI, Quick BI, Power BI, Tableau, and Guandata publicly describe different modeling, connection, storage, or delivery capabilities. Teams can choose based on POC results for their target sources, permission model, concurrency, freshness, and three-year costs. Explicit data paths, acceptance criteria, and operating responsibilities help dashboards, conversational queries, and agents continue to support business decisions after launch.
